Job Description

Our rurally located client is a privately owned and family run business that offer many years’ experience within their niche field. The business is looking to hire a highly organised and reliable Executive Assistant to support their Deputy CEO. This role will provide extremely valuable administrative support to the CEO and other key functions within the business. This role will suit an experienced PA or EA who comes from an SME sized multi-site business, who enjoys working in a small, but very busy, team environment. This role offers the successful candidate the opportunity to work one on one with a successful business owner, in addition to supporting a wider team and leading administrative duties across key functions in the organisation.

Please note: this is a full time, permanent role offering Hybrid working. Due to the exact location, the successful candidate must have a driving license and their own car.

Main Responsibilities:

  • Provide diary management support to the Deputy CEO.
  • Manage all relationships with external suppliers.
  • Handling the purchasing of required equipment.
  • Management of the mobile phone allocation across the business.
  • Provide information and reports relating to industry and internal business statistics.
  • Assist with the management of the Company fleet including: insurance, servicing, fuel card allocation etc…
  • Active involvement in project management – including construction related projects.
  • Manage the off-site archiving process.
  • Authorising invoices for services.
  • Provide administrative support to all online sales and the recruitment of new staff.
  • Book venues, meetings and events – including wider large event management.
  • Provide administrative support to all board meetings including preparation and management of monthly board packs – take meeting minutes as required.
  • Complete general research tasks both in industry and non-industry related tasks.
  • Organise travel support for managers across the team.
  • Supporting the other teams with all administrative tasks relating to planning applications, legal challenges etc.
  • Support the directors with the compiling of monthly expense claims.
  • General office management i.e. supplies, catering, cleaning etc.
  • Oversee all the IT for the company.

Key Skills & Experience:

  • Previous experience working as a Personal or Executive Assistant is essential.
  • Strong IT skills across Word, Excel and wider in-house systems/databases.
  • Excellent communication skills with stakeholders at all levels.
  • Ability to work from initiative and prioritise a very busy workload.
  • Excellent organisational skills with the ability to adapt to changing demands.
  • Integrity, sensitivity and confidential in approach.
  • Acute eye for detail.
