Job Description

Our client is an established company based in Chipping Warden. They are a customer-driven organisation that provide exceptional bespoke, premium services within automotive fleet management, including maintenance, management and movement solutions for some of the most substantial and well-recognised vehicle fleets across the UK. Due to impressive growth, they are now looking to acquire the services of an experienced Part and Warranty Controller. The successful candidate will be responsible for correct parts ordering both directly from manufacturer systems and via 3rd parties, varying from tyres to mechanical components. It is critical that stock is managed closely, alongside accurate billing to eliminate any costs to the business. Warranty details must be entered to the exacting manufacturer standard to ensure claims are processed and costs recouped without issue.

Main Responsibilities:

  • Efficiently review warranty claims to track through to completion and payment.
  • Communicate directly with manufacturer parts and warranty helpdesks with any queries and parts issues.
  • Return any defective parts quickly and efficiently, arrange delivery of replacements or receipt of credit.
  • Handling all warranty requests in compliance with both company standards and legal requirements.
  • Ensuring all parts orders are tracked through from requesting to issuing and invoicing using the in house AssetCare system.
  • Building and maintaining relationships with a network of third party parts suppliers.
  • Identify required parts on parts diagrams, using your own understanding of vehicles and working closely with a team of technicians to ensure accurate part identification.
  • Visiting 3rd party supplier sites to collect parts as and when required.
  • Attending manufacturer parts and warranty training courses as and when required.
  • Maintain and manage a stock of workshop consumables, making sure the technical team always has the required items available to them.
  • Support with elements of Workshop health and safety including managing appropriate removal of hazardous waste such as oil, ensuring health and safety guidelines are adhered to.

Key Skills and Experience:

  • Relevant experience in a workshop or body shop environment
  • Experience using manufacturer parts and warranty systems including Renault, FCA and Nissan
  • Good knowledge of vehicles and their specifications as well as an understanding of basic health and safety requirements
  • IT skills, including the ability to use MS programmes and in house systems
  • Accuracy in written and numeric work and good attention to detail.
  • Good communication skills both written and oral, to all levels, both internally and externally
  • Ability to work effectively under pressure and to tight deadlines with good problem-solving skills
  • Has a professional attitude, building and maintaining strong relationships with internal departments and external suppliers
  • Take ownership of issues, looking for effective and cost-sensitive solutions to always ensure gratification to the customer. Preventing unnecessary delays in vehicle delivery
