Job Description

Our client is a market leading manufacturing and distribution business with family-owned roots, looking to continue their significant successes across a global customer base. We have a fantastic opportunity for an experienced PA to join the team and support their CEO. The successful candidate will have several years’ experience working for a CEO or Business Leadership Team, ideally within a fast-paced manufacturing or distribution related business. You will be a trustworthy and reliable candidate who is has a proactive approach to diary management and a keenness to contribute positively to the wider business. Please note: This role is based from Banbury, but travel to their other site will be required on occasion. As such, a driving license and your own car will be required for this role. Part Time hours would be considered for the right candidate, but full time is preferred.

Responsibilities:

  • Provide full administrative support to the CEO.
  • Handle all correspondence, including phone calls, emails and letters
  • Diary and Outlook management.
  • Organise board meetings, book meeting rooms, ensure board packs are collated and circulated in a timely manner, take minutes at board meetings and follow-up on actions.
  • Process monthly expenses and credit card statements.
  • Arrange domestic and international travel and accommodation for the CEO and Board.
  • Ensuring itineraries are kept up to date.
  • Event Management, to including organising high-level meetings with suppliers and coordinating lunches with the onsite restaurants.
  • Site Management, to include attending monthly meetings with the Site Manager to ensure the site facilities measure up to the expected high standards.
  • Manage the Long Service Recognition Award on behalf of the CEO.
  • Update payroll monthly, ensuring all correspondence is delivered in a timely manner.
  • Support other members of the board with ad-hoc administrative duties as appropriate, including managing holidays.

Skills & Experience:

  • Proven experience working in a similar PA/EA role, supporting a CEO or Senior Business Leader.
  • Prior experience handling complex diary management is essential.
  • Previous experience working for a large manufacturing, distribution or FMCG business.
  • Highly organised and be able to juggle your workload easily.
  • Able to work confidentially and manage stakeholder expectations with ease.
  • Resilient, and used to working on your initiative.
  • Proactive with excellent problem-solving skills.
  • Flexible in approach.
