Job Description

Our client is a unique and empowering organisation based in Leamington Spa that work to provide the best career platform for young people within the Science, Technology, Engineering and Maths sectors. Due to continued success, they are now seeking an Events & Administration Coordinator to join their team on a full-time, permanent basis. You will be responsible for all the administration relating to events as well as supporting with the delivery of events at peak times. The ideal candidate will have prior administration experience, and a keen desire to better the lives of young people. In return, you will work in a highly rewarding role within a collaborative, inclusive and forward-thinking organisation within the education sector.

Please note that this role requires occasional travel with overnight stays/out of hours work when necessary. This would be for company events, and would fall during the summer months (in line with the school holidays) varying from one day to 2-4 weeks in duration. Therefore, the successful candidate will need a driving license and their own transport. Additional pay will be given to recognise hours across these events.

Main responsibilities:

  • Manage and support assigned events from an admin point of view. This includes managing event applications and preparing the necessary paperwork for these events.
  • Liaising with various contacts including university staff, venue staff and course organisers to confirm arrangements, organise catering arrangements and book rooms.
  • Update and maintain the CRM database.
  • Provide administrative support while attending various events including one day and residential, with the willingness to stay overnight if required.
  • Support budget management for events.
  • Answer and respond to telephone queries.
  • Raise purchase orders and invoices as required.
  • Manage the preparation, packing and posting of student application documents.
  • Promotional support to stakeholders through various marketing materials including the use of social media.

Key Skills & Experience:

  • Previous experience working in an administrative role is essential.
  • Previous experience in organising events/events coordination is highly desirable.
  • IT literate including the use of Microsoft Office and good use of databases.
  • Excellent organisation, communication and negotiation skills.
  • Previous use/experience of CRM systems is desirable, however not essential.
